CRM vs ERP: what your growing business actually needs

CRM and ERP get mentioned in the same breath, so business owners often assume they're rival tools and one will do. They're not rivals — they solve different problems. Buy the wrong one first and you'll have a beautiful system for a problem you didn't have. Here's the difference in plain terms.

What a CRM does

A CRM — Customer Relationship Management — is about the outside of your business: leads, prospects and customers. It tracks who's interested, where each deal stands, who followed up and when, and why a sale was won or lost. If your pain is “leads are falling through the cracks” or “I don't know what my sales team did this week,” that's a CRM problem.

What an ERP does

An ERP — Enterprise Resource Planning — is about the inside of your business: the operations that fulfil the sale. Inventory, purchasing, production, invoicing, accounts and payroll. If your pain is “I don't know my real stock,” “billing and inventory don't match,” or “month-end accounts take a week,” that's an ERP problem.

Put simply: CRM helps you get the order. ERP helps you deliver it and get paid.

Where they overlap

The line blurs at the handover — the moment a lead becomes a paying customer. A CRM's job ends roughly where an ERP's begins, around quotes, orders and invoices. That's exactly why the two are often connected: a deal closed in the CRM flows into the ERP as an order, and nobody re-types anything.

Which do you need first?

  • Choose a CRM first if your problem is sales — chasing leads, tracking follow-ups, growing revenue.
  • Choose an ERP first if your problem is operations — stock, billing, purchasing, accounts.
  • Choose both, integrated, when a growing order volume means sales and operations can no longer be tracked in separate spreadsheets.

Most businesses start with whichever pain is loudest, then connect the second system when the handover between selling and delivering starts to hurt.

Cost, and custom vs SaaS

Off-the-shelf CRM and ERP tools charge per user per month — quick to start, but a bill that never ends and a workflow you bend to fit theirs. A custom-built system is a one-time cost that fits your exact process and belongs to you. Custom CRM and ERP builds typically start around ₹49,000 and scale with modules, and an integrated setup can share one login and one database from day one.

The right answer isn't “CRM or ERP.” It's “which problem is costing me money right now?” Solve that one first, keep the two connected as you grow, and you'll never pay for software you weren't ready to use.
