POS and inventory software: what retail businesses in India need

24 June 2026 · 7 min read · Online India team

A shop can run on a cash drawer and a notebook — until it can't. The moment you can't answer “how much of this do I have?” or “which items made me money last month?” without counting shelves, you've outgrown paper. POS and inventory software fixes that, but only if it fits how Indian retail actually works. Here's what to look for.

Fast billing at the counter

The counter is where the software earns its keep. Barcode scanning turns a sale into a beep instead of a hunt for the price. A good POS handles quick item search, discounts, multiple payment modes — cash, card, UPI — and prints or shares a receipt in seconds. If billing is slow, staff stop using it and drift back to the notebook.

Live stock, not last week's stock

The point of the system is that every sale updates stock instantly. Sell three units and the count drops by three — across every till and, if you have them, every outlet. That live number is what makes the rest possible: low-stock alerts before you run out, no more overselling, and reorder decisions based on facts instead of a gut feeling.

Purchases and suppliers

Selling is only half the loop. Recording purchases — what you bought, from whom, at what cost — is what makes stock and profit accurate. With purchase entries in place, the software can show real margins, flag which suppliers cost you more, and tell you what to reorder and how much.

GST invoicing built in

In India this isn't optional. Your POS should produce GST-compliant invoices with the right tax slabs, HSN codes and a clean breakup — and roll it all into reports your accountant can actually use at filing time. Software that treats GST as an afterthought creates a mess you pay for every quarter.

Multi-outlet and offline

  • Multi-outlet — one dashboard showing sales and stock across every shop, with the ability to compare and transfer stock between them.
  • Offline mode — billing that keeps working when the internet drops and syncs when it's back, so a bad connection never stops a sale.
  • Central pricing and reports — set prices once, see the whole business in one place.

A single shop can skip most of this. A growing chain lives or dies by it — get it wrong and each outlet becomes its own island of half-right numbers.

Hardware you'll need

The software runs on ordinary equipment: a computer or tablet, a barcode scanner, a thermal receipt printer, and a cash drawer. Many shops start with just a laptop and a ₹1,500 scanner and add the rest as they grow. You don't need an expensive branded till system to begin.

What it should cost

Ready POS products are usually priced monthly per outlet — cheap to start, rented forever. A custom build that matches your exact billing, tax and multi-outlet needs is a one-time cost starting around ₹49,000, and you own it. For a single shop, a ready tool is often enough; for a chain with its own rules, owning the system pays off fast.

Judge POS software on the boring things — how fast it bills, whether stock is truly live, and whether GST just works. Get those right and the software quietly does what no notebook ever could: tell you the truth about your shop, in real time.
